Terms of Use

Last updated: 2026-09-28

Provided in English and Japanese. If the two differ, the Japanese text prevails.

These Terms of Use (the "Terms") govern your use of Clerfy (the "Service") and are set by its operator ("we", "us"). By creating an account or using the Service you agree to these Terms.

1. What the Service is

The Service organises publicly available rules about immigration procedures in Japan around the facts you enter: which procedure applies, which published requirements match your situation, dates and deadlines, and a record of your documents. Every requirement shown traces to the official source it comes from.

The Service is an information tool. It is not legal advice, it is not the service of a 行政書士 (certified administrative procedures specialist) or a lawyer, and using it does not create any professional relationship. We do not prepare, draft, file or submit any application on your behalf. You remain the applicant and are responsible for what you submit and when.

The Service never predicts or guarantees the outcome of any application. "Required", "May be required" and "Professional review" describe how a published rule matches the facts you entered — they are not a legal determination. Where a rule requires individual judgement, the Service stops and recommends a professional.

Rules can change, and a rule set may be shown as a preview while it is still being verified. Always check the official pages of the Immigration Services Agency, or a qualified professional, before you act.

2. Eligibility and accounts

You must be at least 18 years old and able to enter into a binding agreement under the laws of Japan to create an account. You sign in with a Google or Apple account or by email; you are responsible for keeping that sign-in secure and for everything done through your account.

You may add family members (for example a spouse or child) to your account without a sign-in of their own. You confirm that you are entitled to enter and manage their information — for a child, that you are their parent or guardian — and that you have told them about this Privacy Policy.

3. Your content

You keep all rights to the facts, answers and documents you provide ("Your Content"). You grant us a licence to store and process Your Content only as needed to provide the Service to you, as described in the Privacy Policy. We do not use Your Content to train AI models and we do not sell it.

You are responsible for Your Content being accurate and for having the right to upload it. Do not upload the Individual Number (マイナンバー): the Service is designed not to store it and asks you to confirm that a copy hides it before the document is read.

4. Acceptable use

You agree not to:

  • use the Service for anyone whose information you are not entitled to manage, or to provide paid immigration services to others;
  • attempt to obtain another person's data, probe or bypass access controls, or interfere with the operation of the Service;
  • copy, scrape or reverse-engineer the rule sets, the Service or its software beyond what the law allows;
  • use the assistant features to generate content that is unlawful, deceptive or harmful, or to circumvent the limits of the Service.

5. Fees

The Service is currently free of charge during field testing. If we introduce paid features, we will tell you the price and the terms before you are charged, and nothing you already use will start costing money without your agreement.

6. Availability and changes

We may change, suspend or discontinue any part of the Service, including which procedures are covered. Where a change materially affects you, we will give reasonable notice inside the Service or by email. We may also update these Terms; the date at the top shows the current version, and continued use after a change means you accept it.

7. Disclaimer and limitation of liability

The Service is provided "as is". To the extent permitted by the laws of Japan, we make no warranty that the Service is error-free, uninterrupted, or that a checklist, date or explanation is complete or correct for your case. Official sources and the authorities' own decisions always prevail.

To the extent permitted by law, our total liability to you for any claim relating to the Service is limited to the amount you paid us in the twelve months before the claim (or ¥10,000 if you paid nothing). This limit does not apply to damage caused by our intent or gross negligence, and nothing in these Terms limits rights that consumer-protection law gives you and that cannot be waived.

8. Termination and deletion

You may stop using the Service at any time and delete your procedures and documents inside the Service. To delete your account, contact us at the address below; we will delete it as described in the Privacy Policy. We may suspend or terminate an account that breaches these Terms, with notice where the law requires it.

9. Third-party services

Sign-in is provided by Google and Apple under their own terms. Document reading and explanations use a third-party AI provider under an agreement that prohibits training on your data. Hosting and storage providers are listed in the Privacy Policy. We are not responsible for services we do not operate.

10. Governing law and language

These Terms are governed by the laws of Japan. The Tokyo District Court has exclusive jurisdiction in the first instance over any dispute arising from the Service, unless mandatory law gives you a different forum. These Terms are provided in English and Japanese; if the two differ, the Japanese text prevails.
